About the Opportunity The Accounting Clerk manages our billing and receivables and supports the Accounting Manager or Operations Director as part of our accounting team. To be considered, you must be organized, thorough, a natural project manager and eager to learn and grow in your knowledge and expertise. Duties will include: • Primary responsibility for all client invoicing • Generate vendor Purchase Orders from internal Purchase Requisitions approved by Account Supervisor or Media Director • Process incoming mail concerning billing and invoicing • Deposit client payments • Receive and process Accounts Payables for payment • Assist in reconciling billing records with records maintained by client services staff • Available to help client services teams create or troubleshoot spreadsheets or help with other accounting-related billing issues or cost proposals as needed • Manage insurance documentation (Certificates of Insurance) for contracts • Track and process employee expense reports • Reconcile all company credit card statements • Maintain supporting documentation for vendor and client transactions. This includes scanning and saving all backup documentation to company server and attaching documentation in QuickBooks. • Keep track of and maintain company subscriptions and memberships Additional duties may include assistance to Accounting Manager or Operations Director to: • Enter records in QuickBooks • Run reports and maintain ledgers in QuickBooks • Reconcile bank statements with general ledger • Reconcile Accounts Payable and Accounts Receivable ledgers • Maintain Accounts Receivables projections and track receivables to help ensure prompt payment of invoices • Audit ledgers to ensure they contain correct information. Requirements for the position are: • Associate degree in accounting, finance or related field required, Bachelor’s degree preferred. Recent graduate is OK. • QuickBooks experience – Recent use during college is OK, though more proficiency is preferred. • Proficiency with Microsoft Office Suite. • Very proficient with Microsoft Excel. • Experience with Office 365 Teams is also valuable, but not required. • Demonstrated leadership, internship or work experience. • Demonstrated passion for contributing to making the world a better place.
