Position Summary
The Administrative Assistant plays a vital role in supporting the daily operations of the Metro Chamber and ensures a welcoming, efficient, and professional environment for members, partners, and visitors. This position is often the first point of contact for the Capital Region’s business community, answering incoming calls, greeting guests, and providing high-quality customer service that reflects the Metro Chamber’s values and mission.

Working collaboratively across departments, including Operations, Marketing, Membership, and Public Policy, the Administrative Assistant provides essential administrative, logistical, and project support that strengthens organizational effectiveness. This role contributes to office management, event preparation, data entry, scheduling, and member outreach tasks, helping streamline workflows and enhance the Metro Chamber’s ability to serve the regional business community.

The ideal candidate is detail-oriented, organized, and proactive, with strong communication skills and a professional presence. This position offers opportunities to engage directly with Capital Region businesses, participate in Metro Chamber programs and events, and gain exposure to marketing, membership development, and economic policy initiatives.

This position is planned for 32 hours per week with standard scheduled hours Monday-Thursday from 8:30 a.m. to 5:00 p.m. Position will qualify as full time for benefits eligibility and will have the possibility of Friday hours depending on programmatic needs throughout the year. Occasional evening hours may also be required based on event scheduling.

Essential Duties & Responsibilities

Front Desk, Office Operations & Administrative Support

  • Serve as the primary point of contact for incoming calls; respond to inquiries, route calls, and ensure timely follow-up.
  • Greeting and welcome visitors, members, and community partners, creating a professional and positive first impression.
  • Maintain the reception area and shared office spaces, ensuring they remain clean, organized, and presentable.
  • Provide general administrative support including scheduling, data entry, filing, scanning, and document preparation.
  • Manage office inventory, assist in ordering supplies, and support coordination with vendors or building management on maintenance needs.
  • Oversee conference room reservations and shared administrative resources to support smooth daily operations.

Departmental, Events & Business Community Support

  • Provide cross-departmental support to Operations, Marketing, Membership, and Policy teams, assisting with administrative, logistical, and executive support needs as they arise.
  • Contribute to the coordination and execution of Metro Chamber events, programs, and committee meetings by supporting planning, setup, and general operations.
  • Help maintain positive and consistent engagement with Metro Chamber members, business leaders, and community partners through professional communication and reliable support.
  • Assist in distributing information and materials across departments to ensure smooth collaboration and effective outreach.

Communication & Collaboration

  • Work cross-departmentally to support projects that enhance organizational efficiency and member value.
  • Assist with internal communication needs, ensuring information flows smoothly across teams.
  • Uphold a high standard of professionalism in all interactions, helping reinforce the Metro Chamber’s role as a trusted resource for regional businesses.
  • Other Duties as assigned.

Education and/or Experience

 Education Required:

  • High School diploma or equivalent

Experience Required:

  • 2 years+ experience working in an administrative or office support role.
  • Proficiency in MS Office Suite (Word, Excel, PPT) and database management

Preferred Experience:

  • Knowledge of VOIP or other connected phone systems.
  • Strong written, interpersonal and verbal communication skills.
  • “Tech Literate” including proficiency with standard office software and digital tools.
  • Experience working in nonprofits, associations, or membership-based organizations.

Work Environment

This position operates in a professional in-office environment. Some evening and weekend hours may be required to support events, programs, and stakeholder engagement activities.
